Position Title:Administrative and financial director
I. Context and Job Description:
In partnership with the Executive Committee, lead and implement CMD priorities and strategy. Maintain a highly visible leadership profile, proactive in engaging with other departments as required.
He coordinates the operational management, monitoring and reporting of the activity of the medical center. He also coordinates meetings and monitors the completion of tasks.
II. Main responsibility:
1. Coordinate projects
Leads the project team, establishes the project execution approach, and oversees project hand-over, execution planning, and monitoring and control activities for both internal and external resources in order to accomplish all project goals, provides performance feedback regarding allocated resources working on projects.
Active involvement in continuous improvement and simplification, supports improving guidelines, tools, and templates, ensures compliance to relevant regulations, standards and contractual requirements, budget, sales and operations planning, supports Incal Sales and Tendering through early involvement in tenders.
Ensures that the project follows execution best practices and company poles, effectively monitors and controls project progress and efficient resource, monitors and controls project financials, overseeing project invoicing status, cost, expenses, and cash flow, identifies, qualifies, quantifies, and manages project risks and ensures that all opportunities are idented and pursued
Captures, analytes and shares lessons learned throughout the project, all in accordance with the contract, ensures that the project consistently apples contract and claims management
Coordinates with Supply Chain Management and successfully procures required services, materials, and equipment for the project from external and internal suppliers, supports Procurement and Logistics in supplier negotiations, claims and projects changes Maintains strong relationships with internal and external stakeholders and effectively communicates with all stakeholders, ensures the project follows and complies with company health, safety, and environmental policies.
2. Follow-up of meetings and various requests
Update the Excel table for monitoring maintenance requests daily
Update the Excel task tracking table for service providers on a daily basis
Follow up on tasks assigned to Directors and Chiefs meetings at CMD
Write the minutes of the meeting of Directors and Chiefs
Update documents
Follow up on tasks that are due for the day by sending reminder emails, or follow up by phone, or via Whatsapp, or face to face
3. Carriage tracking
Support the regulator in his team management (planning, replacement, leave, etc.)
Follow-up of transport to be justified: every week for ambulances (invoiced or uninvoiced races), consistency with mileage and fuel consumption.
Optimization of costs (repairs, maintenance, etc.)
Control of mandatory documents and makes the bridge with the legal (Master Sonny)
Checks the regulator's weekly follow-ups (ensures that the latter carries out checks on the logbooks, etc.)
Escalates information (highlight or issues) to management.
